Scheduling and Room Reservations
Students and Faculty/Staff of the School of Music can reserve spaces in the Music Building through Skedda, a calendar booking platform used to manage the building’s spaces.
To get started, visit the School of Music Skedda site at uncgsom.skedda.com. Click “Log In” in the lower left corner (see below) and sign in with your UNCG credentials. Some calendar details may be hidden until you’re logged in, but you’ll always be able to see whether a space is busy or available.
The first time you log in, Skedda automatically creates your account, identifies you as a student or faculty/staff member, and assigns the appropriate access tag(s). If you need additional permissions for limited-access rooms (e.g., the percussion room or electronic music studio), please contact the Music Building Manager.

Booking Windows and Quotas
Students may book with the following limitations:
- My reserve a room up to ten (10) days in advance
- Limited to two (2) reserved hours per day, per space
Faculty/Staff may book with the following limitations:
- May reserve a room up to thirty (30) days in advance
- No per-day quota
All reservations beyond your standard booking window must be requested using the Classroom and Rehearsal Room Booking Form and approved by the Music Building Manager. All users are required to check for the availability of the space before they submit a booking request.

In addition to booking through a web browser, Skedda offers fully-featured apps for both iOS and Android. Visit your device’s app store to download, or use the links below. Log in with your UNCG credentials, just as you would on the desktop version.
Be sure to click “Log in with Single Sign-On” at the bottom of the login screen, rather than using the email and password fields at the top.

Bookings in Tew Recital Hall and the Organ Hall may occur between 6:00 am–10:00 pm.
Skedda may be used for direct, non-recital bookings of Tew Recital Hall or the Organ Hall. Your reservation is not complete until it has been approved and confirmed by the Hall Manager.
- Requests are filled on a first-come, first-served basis and are time-stamped as they are received.
- Keys for all spaces can be checked out from the Box Office (Music 215) before 4:30 pm, Monday through Friday. Keys for early-morning access to performance spaces (before 8:00 am) must be obtained the afternoon before. Keys for weekend access must be obtained by 4:30 pm on Friday.
- Please be mindful of our halls’ time constraints. All users are expected to end their event or rehearsal ten (10) minutes before its scheduled ending time and vacate the space, so the next booking can begin on time. Thank you for your cooperation.
Notes
- No rehearsal or recording time, other than dress rehearsals, will be booked in standard recital booking time slots (or overlapping them) more than thirty (30) days before the requested date. Requests made less than thirty (30) days out for rehearsals and recording time in standard recital slots will be granted on a first-come, first-served basis.
- Organ students receive first priority for scheduling in the Organ Hall. Non-organ students may book up to five (5) hours per semester in either Tew Recital Hall or the Organ Hall; requests beyond that limit require faculty approval.
- Please consult Skedda before submitting any rehearsal booking requests. Skedda is generally kept up to date and can be accessed here. Please do not guess at booking dates and times.
- No standing rehearsals will be booked for general student chamber ensembles or student-led ensembles; rehearsals must be booked on a week-to-week basis.
- Requests made less than 12 hours before their start time may not be honored due to staffing.
- Weekend bookings should be planned and requested no later than 4:00 pm on Friday.
- The scheduling system is not monitored from 5:00 pm Friday through 9:00 am Monday. Requests made during this window may not be completed — this includes bookings for Monday before noon.
Most classroom and rehearsal space reservations can be made directly through Skedda. If you need to book beyond your standard booking window, submit the Classroom Booking Form for approval by the Music Building Manager. Before submitting a request, please check Skedda to confirm the space is available.

General Scheduling Times
Recitals and concerts in Tew Recital Hall and Organ Hall may be scheduled at the following standard times:

Event Length Restriction: Events beginning before 7:30 p.m. may not exceed 75 minutes. This limit includes intermissions, pauses, and stage changes. An event that exceeds the permitted length may be concluded early to preserve the daily schedule.

Additional Policies
- Scheduling conflicts involving large ensemble performances, opera productions, faculty events, or University Concert and Lecture Series (UCLS) events may be approved by the Director of the School of Music on a case-by-case basis.
- Faculty events may be scheduled concurrently with student recitals only when the student performer is from a different area/division and the faculty member acknowledges and accepts the conflict.
- Requests for new Faculty Artist, Guest Artist, Alumni, or Faculty-Led Chamber Ensemble events must be submitted by April 1 of the applicable academic year.
- Events scheduled before 7:30 pm must not exceed 75 minutes, including intermission, stage changes, and pauses.
Student Recitals
All required and non-required student recitals should be scheduled at least 30 days before the performance date. This advance notice allows sufficient time to arrange house staffing, printed materials, and event logistics.
The final date on which student recitals may be held each semester is the first Saturday of final examinations.

These instructions are for recitals presented in an on-campus venue. For off-campus performances, complete Steps 8, 9, and 10.
Student Recital Fee Policy
Student recital reservations are tentative until all required recital fees have been paid and final approval has been issued.
Students must pay recital fees within seven calendar days of receiving the tentative confirmation email. If payment is not received by the deadline, the reservation will be removed from the calendar. The student must then submit a new booking request through the standard reservation process.
Faculty and guest artist performances are not subject to recital fees.

Off-campus Recitals
School of Music venue-booking procedures and recital fees do not apply to off-campus performances. However, students presenting off-campus recitals must still:
- satisfy all recital registration requirements
- complete any required recital hearing or authorization
- submit program materials by the applicable deadline

Program Requirement
Submission of recital materials through the Recital Registration Form is required for all degree recitals and any performance requesting School of Music program production services. Recitals will not be published on the School of Music concert calendar until all required materials have been submitted.
Digital and Printed Programs
A digital copy of every approved recital program will be posted to the Digital Concert Programs website. Printed programs are delivered directly to School of Music venues for on-campus performances. For off-campus performances, performers are responsible for picking up printed programs from the CVPA Dean’s Office (Music 220).
Student Recital Fees
Student recital reservations remain tentative until all required fees have been paid. Payment must be received within seven calendar days of the confirmation email. If payment is not received by the deadline, the reservation will be removed from the calendar. The student must then submit a new reservation request through the standard booking process.

Off-Campus Performances
The standard recital booking and venue fees do not apply to off-campus performances. However, recital registration and program-submission requirements remain in effect. A program preparation and printing fee applies when the School of Music produces printed programs for an off-campus recital.

Recitals may be presented during exam week each semester, including Reading Day, through the First Saturday of exams. No recitals will be permitted after this time due to potential exams, special juries, and class meetings in the performance spaces.
Required degree recitals may be presented in the Music Building during a limited booking window over Summer Session I & II. Advanced scheduling is required to ensure recording and streaming services are available. A student is not required to use School of Music services for their event, but they are encouraged to keep their event times aligned with what is listed below.
- Required degree recital bookings are permitted during active Summer Sessions I & II only.
- No bookings will be allowed on summer holidays or over holiday weekends.
- Summer recitals DO NOT have stage crews available – only audio/video services when requested/booked in advance.
- University Recording and Streaming services are not required for summer recital events; however, the performer is responsible for providing an archive audio recording to the Harold Schiffman Music Library at the completion of the event.
- Off-campus events are permitted in consultation with studio professor. Please note that off-campus recitals must be registered.
- All summer recitals presented for degree credit should be scheduled and registered, regardless of performance location or use of School of Music services, for the purposes of advertising and record keeping.

Miscellaneous
All accompanying assignments for keyboard majors and principals are made in conjunction with course requirements for MUS 284, 285, and 384, and, for principals registered for more than 1 credit hour, performance studies at or above the 251 level.
Assignments for MUS 284 and 285 (Fundamentals of Keyboard Accompanying) are prescribed in the course syllabi.
Assignments for MUS 384 are directed by the coach or the keyboard faculty member in charge of accompanying. A one-credit accompanying assignment should require, at most, an average of one hour daily, whether in practice, rehearsal, studio, or performance.
Assignments for piano principals are made by the faculty member in charge of accompanying. Each assignment forms part of the student’s required repertory and is juried alongside required solo literature; the instrumentalists or vocalists being accompanied ordinarily participate in the jury as well. An assignment should never call for more than one fourth of the student’s practice time.
Assignments for collaborative piano majors (551, 651, 751) are made individually by each student’s performance studies teacher.
Assignments for the staff accompanist are made by the Director of Accompanying and Chamber Music, in coordination with assignments for collaborative piano majors.
Large ensembles, faculty-led ensembles, operas, and special events are scheduled each Fall, at a meeting that typically plans one to two academic years ahead. The meeting is coordinated by the Conducting Area Chair and includes the School of Music Scheduler, ensemble directors, the opera director, and division/area representatives as needed.
At this meeting, requests are taken for large ensemble performances, general UNCG Auditorium bookings, tentative off-campus bookings, and performances in School of Music performance spaces. The calendar is then refined through the Fall and early Spring, with final UNCG Auditorium dates due no later than March 1 of the semester before the requested booking year.
Special recruitment events and festival days may be booked at any time for the upcoming academic year, though class and ensemble bookings during requested weekday times will take precedence in a given space. Bookings are not allowed during the month of April.
To schedule your event, reach out to the Building Manager and Hall Manager by email (see the Staff Directory), and include the following:.
- All spaces needed (e.g., Tew Recital Hall, Organ Hall, Room 110, Room 154, classrooms, etc.)
- Length of time needed
- Any special equipment needed (tables, signage, etc.)
If you book through the online system, follow up with an email to both the Hall Manager and Building Manager to confirm the booking is correct. For scheduling and timely advertising purposes, all events should be booked by May 15 of the preceding academic year.
